 POSITION:        Assistant to the Academic Dean/  

Bryant Smithfield Liaison

 

INCUMBENT:   VACANT                        

REPORTS TO:   Academic Dean; Bryant Zhuhai 

                                         

DEPARTMENT:       Bryant Zhuhai               

             

 

POSITION SUMMARY:  This position is responsible for providing the full-range of administrative secretarial and Human Resources-related support for the Academic Dean at Bryant Zhuhai; including maintaining relations with faculty, staff, students and other constituents at Bryant Zhuhai, BITZH, and Bryant University Smithfield, as well as with constituents from outside the Bryant communities.

 

The incumbent also has a central role in working with faculty on behalf of the Academic Dean to ensure that policies and procedures with regard to faculty and related administrative matters are handled efficiently. S/he operates within established guidelines and policies, but applies independent judgement in performing varied administrative support assignments for the Academic Dean. 

 

TRAINING AND QUALIFICATIONS:  This position is best filled by an individual with excellent administrative, organizational and interpersonal skills.  S/he must have 3 or more years of progressively increasing experience in a professional office setting, including experience in the field of Human Resources; Bachelor’s degree preferred.  Highly developed computer and word processing skills are required.  Demonstrated ability to work independently, maintain confidentiality, make decisions and take initiative is important. Proficiency in both Chinese and English is required, as is the knowledge of varying cultures. The ability to effectively handle frequently changing priorities, and establish credibility when representing the Dean and Associate Dean is imperative.

 

PRINCIPAL ACCOUNTABILITIES:  The principal accountabilities of the Administrative Assistant to the Academic Dean/BITZH Liaison include but are not limited to the following:

 

1.)    Provide the full-range of secretarial support for the Academic Dean at Bryant Zhuhai, including but not limited to typing, word processing, and data entry; transcription; screening mail, telephone and personal callers; composing routine correspondence; keeping and maintaining up-to-date calendars; initiating meeting arrangements; ordering inventory and other office supplies; and assisting with special projects, as needed.

 

2.)    Serve as an effective liaison between Bryant Zhuhai and Bryant Smithfield on behalf of the Academic Dean by leveraging relationships and acquiring knowledge about the organizational culture and structure of each institution. Effectively coordinate the full range of administrative and logistical support required to support Bryant Zhuhai/Bryant Smithfield relations.

 

3.)    In conjunction with Bryant Zhuhai’s Director of Administrative Services and Academic Advising, provide a variety of human resources related functions, including but not limited to international faculty recruitment and processing of related paperwork such as preparing employee contracts, and more; assisting faculty through visa processing, and obtaining work and residency permits; administering orientation/onboarding programming related to welcoming new faculty and acclimating them to the Bryant Zhuhai campus and community; performing payroll-related functions including entering new data into the Bryant Zhuhai employee management database/system, entering payroll changes, processing terminations; providing leave administration and tracking; etc.

 

4.)    Serve as the primary point of contact for reporting requirements related to the WOFE.

 

5.)    Effectively manage the processes for ordering and distributing textbooks in service to the faculty.

 

6.)    Perform additional related duties and engage in special project work as assigned.

Terms of Appointment

Successful candidates will be appointed on a full-time fixed term contract. A highly competitive salary commensurate with qualifications and experience will be offered.
